Job Description

We are a small

electrical contractor seeking an Office Manager who is self-motivated, has

excellent organizational skills and a personable disposition to keep us

thriving. The ideal candidate will have a natural flexibility in handling

day-to-day routines as well as surprises. The office manager will provide

strong, reliable support for operations by creating procedures, communicating

effectively and by maintaining employee culture.  This person will also help us achieve

organizational efficiency by nurturing a positive, inclusive work

environment. 




ESSENTIAL DUTIES AND RESPONSIBILITIES (include but are not

limited to the following):


* Answer phone, process customer service

requests

* Maintain company calendar, manage daily scheduling

for service technicians and dispatch


* Collect payments, maintain invoices and

billing 

* Accounts payable; manage bill payments, write

checks from accounts to pay standard bills

* Accounts receivable; record invoice

information into QuickBooks

* General office administrative tasks; complete

assignments within tight and often difficult deadlines

* File maintenance; properly maintain files, invoices

and customer paperwork

* Oversee and maintain office equipment for

uninterrupted function, identify needs

  Manage

vendor relationships

* Order office supplies, anticipate needs, keep

stocked, coordinate food deliveries when requested

* Manage social media pages

* Occasionally run errands


REQUIRED

EXPERIENCE:


* 5+ years of experience in office management

* Strong organizational, time management and

people skills

* Excellent communication skills, both speaking

and listening

* Excellent customer service, listening to

their needs, working with a sense of urgency

* High degree of flexibility and excellent multitasking

ability

* Excellent grammar and written composition

* Aptitude for learning new skills and systems


* Ability to maintain a high degree of

discretion and confidentiality




PREFERRED

SKILLS AND QUALIFICATIONS


* Excellent phone etiquette and charisma


* Computer skills; Service Titan, Clock Shark,

MS Word and Excel, Quick Books online

* Work well under pressure while maintaining a

high level of professionalism

* Work well in a team-based environment under

minimal supervision

* Experience in developing internal systems
